Property Pixel Pty Ltd (ABN 90 678 224 596) - "we", "us", "our" - operates Showcase.Place, a service that builds dedicated websites for individual properties. This policy explains how we collect, use, disclose and protect personal information, both for buyers enquiring through a property showcase website and for real estate agents enquiring about our service.
Two different groups of people
Buyers and members of the public submit enquiries through a property showcase website about a home they're interested in. Sections 1 to 3 cover that.
Real estate agents may request our appraisal guide or send us a property to build, using the forms on showcase.place. Section 4 covers that.
Everything from section 5 onwards applies to both.
1. Information we collect from property enquiries
1.1 Information you provide
When you submit an enquiry through a property showcase website, we collect:
- First and last name - to identify you and personalise communication
- Email address - to respond to your enquiry
- Mobile number (optional) - to contact you by phone if needed
- Postcode - to understand your location
- Message - your enquiry about the property
- Property interest - which property you're enquiring about
1.2 Information collected automatically
- Date and time of your enquiry submission
- IP address, for security and fraud prevention
- Browser type and device information
1.3 Email tracking
When we forward your enquiry to the real estate agent by email, we record whether the email was delivered and whether links within it were clicked. We do not use tracking pixels, so we do not record whether an email was opened. This confirms your enquiry reached the agent and that our service is working. It is not shared with third parties and is used only for delivery confirmation and service quality.
2. How we use property enquiry information
- Responding to enquiries - forwarding your enquiry to the relevant agent or property owner
- Communication - enabling the agent to contact you about the property
- Record keeping - maintaining a record of property enquiries
- Service improvement - analysing and improving the platform
- Legal compliance - meeting applicable laws and regulations
3. How we share property enquiry information
3.1 Real estate agents and property owners
Your enquiry is shared with the real estate agent or property owner responsible for the property you're interested in. That is the primary purpose of submitting it.
3.2 Service providers
We use trusted third-party providers to operate the platform:
- Resend (Resend Inc., USA) - email delivery. Your name, email address and message content are transmitted to Resend so the enquiry can be sent. See resend.com/legal/privacy-policy
- Cloud hosting providers - secure storage and processing of enquiry data on servers in Australia and/or overseas
- Umami Analytics (Umami Software, Inc., USA) - privacy-focused, cookieless analytics that does not identify individuals or track them across websites. See umami.is/privacy
- Cloudflare (Cloudflare Inc., USA) - content delivery and security. See cloudflare.com/privacypolicy
These providers are contractually obliged to protect your information and use it only for the purposes we specify. By submitting an enquiry you consent to disclosure to these providers, including overseas disclosure to Resend and Cloudflare in the USA.
3.3 Legal requirements
We may disclose information where required by law, court order or a government authority, or to protect our rights or the safety of others.
4. Information we collect from real estate agents
4.1 Requesting the appraisal guide
If you request our free appraisal guide through showcase.place, we collect your first name and email address. We use these to send you the guide and, with your consent, to contact you occasionally about Showcase.Place. Every such email includes an unsubscribe link, and unsubscribing takes effect immediately.
We record whether links within these emails were clicked, so we can tell whether the guide is reaching people and is useful. We do not use tracking pixels, so we do not record whether an email was opened. If you unsubscribe, or your email provider reports a complaint, we stop sending and keep a record that you opted out so we do not contact you again.
4.2 Booking a showcase
If you send us a property to build, we collect your name, email address, phone number, agency name and the property address. We use these to respond to your enquiry, set up the domain, and if you proceed, to build and deliver the website and invoice you for it.
4.3 Consent records
When you tick the privacy consent box on either form, we record that you did so and the date and time, so we can demonstrate that consent was given.
4.4 How we share agent information
We do not sell agent information and we do not share it with other agents or agencies. It is disclosed only to the service providers listed in section 3.2, to our accounting and payment providers where an invoice is involved, and where required by law.
5. Data security
We take reasonable steps to protect personal information from unauthorised access, use or disclosure:
- Encrypted connections (HTTPS/SSL)
- Secure database storage with access controls
- Regular security updates and monitoring
- Access limited to authorised personnel
No method of transmission over the internet is completely secure, so while we use industry-standard measures we cannot guarantee absolute security.
6. Data retention
- Property enquiries are retained while the property is being marketed
- Historical enquiries may be retained for up to 2 years as business records
- Agent contact details are retained while you remain a customer or subscriber, and for up to 7 years afterwards where required for tax and business records
- After these periods, personal information is securely deleted or anonymised
7. Your rights
Under Australian privacy law you have the right to:
- Access - request a copy of the personal information we hold about you
- Correction - request correction of inaccurate or incomplete information
- Deletion - request deletion of your personal information, subject to legal obligations
- Complaint - lodge a complaint about how we've handled your personal information
To exercise any of these, contact us using the details in section 12. If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
8. Cookies and tracking
Our websites may use cookies and similar technologies to:
- Record website visits and interactions, via Umami Analytics
- Improve user experience and website functionality
- Measure how property showcases perform
Our analytics are privacy-focused and do not track individuals across websites. You can disable cookies in your browser settings, though some features may not work as intended.
9. Third-party links
Property showcase websites may link to third-party sites such as agent websites or social media. We aren't responsible for the privacy practices of those sites and encourage you to review their policies.
10. Children's privacy
Our services aren't intended for people under 18 and we don't knowingly collect personal information from children. If we become aware that we have, we'll take steps to delete it.
11. International data transfers
Your information may be transferred to and processed outside Australia - for example in the USA, for email delivery via Resend and web traffic via Cloudflare. We take reasonable steps to ensure appropriate safeguards are in place.
12. Changes to this policy
We may update this policy to reflect changes in our practices or legal requirements. The "last updated" date at the top shows when it was last revised. Continued use of our services after a change constitutes acceptance of the updated policy.
